Services we can provide
Working in partnership with Residential Management Companies, Eastwood Block Management is able to provide a bespoke and tailored made service to your Company which can encompass either the whole of the maintenance and upkeep of the development including the accounting functions or specific responsibility for certain areas. The following is an indication of some of the services, which Eastwood Block Management currently provides and we would be happy to discuss your requirements in more detail with you.Financial Accounting Service
- Providing financial information to assess level of annual Service Charge
- Issuing and collection of Service Charge notifications and payments
- Answering resident queries on a Service Charge
- Setting up resident payment schemes for Service Charge
- Administering bank accounts on behalf of the Management Company
- Providing a financial accounting service including debtor chasing and Supplier and contractor invoice verification and subsequent payment
- Providing financial information to the Directors on a quarterly or more frequent basis if required.
- Liaising with the Company accountants for preparation and submission of annual accounts
- Liaising with the Directors on the content of the prepared annual accounts
- Preparation and submission of annual budgets
Insurance
- Periodic re-valuation of re-building costs for insurance sums insured (Buildings only)
- Instigating and overseeing major repairs under communal buildings insurance
- Liaising with Insurance Assessors and the Police where applicable
- Arranging Directors and Officers Insurance if required
Residents and Directors Communication and Meetings
- Up to four meetings per year with Directors
- Preparing meeting notes and dealing with matters arising where appropriate
- Circulating notes of meetings held to respective parties such as Residents and Directors of the Management Company
- Obtaining alternative quotations for services as requested by the Directors
- Arranging and chairing (if requested) Annual General Meetings and Extraordinary General Meetings
- Arranging site meetings with residents as required
- Corresponding with Directors and responding to resident’s queries
- Liaising with house builders during initial years of Management Company
Contractors
- Providing contractors specifications for the appointment of cleaners and gardeners, etc
- Organising repairs and obtaining quotations for major items of repair and re-decoration
- Liaising with maintenance contractors as and when required
- Annually tendering services to ensure value for money
Property Sales
- Responding to solicitors correspondence including financial information requirements
- Dealing with solicitors enquiries on the contents of the accounts Granting the approval of the Management Company for applications for membership of the Company
- Granting the approval of the Management Company of a property sale for the purpose of registration with Land Registry where appropriate
Miscellaneous Services
- Liaising and taking instructions from the Directors where the terms of the lease are not being adhered to by individual residents
- Seeking continuity of the Management Company with the appointment of new Directors as and when required
- Implementation of 24 hour emergency service if requested
